Submit a Session Proposal

Thank you for your interest in presenting to our Association! The 2010 Annual Conference planning committee is seeking proposals for conference sessions, pre-conference workshops, and poster sessions. Follow the links below to learn more about:

Submission deadline for all proposals is April 23, 2010.


Session Criteria

Sessions

Definition: Conference sessions tend to run 60 to 75 minutes in length and deal with topics of interest to at least a segment of MLA members.
Session Times: Wednesday, October 6, 2:00PM–5:15PM
Thursday, October 7, 8:00AM–4:45PM
Friday, October 8, 8:00AM–10:45AM
Criteria for
Acceptance:
Conference session proposals will be reviewed for consistency with conference themes, coverage of topics of timeliness and interest to members, and credentials of presenter(s).

Pre-Conference Workshops

Definition: Pre-conference programs tend to run longer than typical conference sessions and may, at the discretion of the MLA Conference Planning Committee, include separate registration fees.
Session Times: Wednesday, October 6, 8:00AM–11:30AM
Criteria for
Acceptance:
Pre-conference workshop proposals will be reviewed for consistency with conference themes, credentials of presenter(s), and the likelihood that the proposed program will attract sufficient registration to cover costs.

Poster Sessions

Definition: Poster sessions are presentations of topics of interest to members that may be made from a tabletop in the conference exhibit area or similar location. More conversational than typical sessions, poster sessions work well with topics of interest to a smaller audience or topics that may be covered more quickly than in a regular conference session.
Session Times: Thursday, October 7, time TBD

Acceptance:
Poster session proposals will be reviewed for consistency with conference themes, coverage of topics of timeliness and interest to members, suitability for the format in terms of space and time, and credentials of presenter(s).

Terms of Engagement

Availability: Presenter agrees to be available for the each day of the Conference. MLA will schedule Presenter at its discretion.
Registration: All presenters are expected to register for the Conference at MLA membership rates.
Compensation: Presenter agrees to waive any honorarium or registration discount.
Travel: Presenter agrees to be responsible for all travel arrangements and costs.
Lodging: Presenter agrees to be responsible for all lodging arrangements and costs.
Meals: MLA agrees to provide Presenter with all meals included in the Conference registration fee. Presenter agrees to be responsible for all other meal arrangements and costs.
Handouts:
Presenter agrees to allow MLA to distribute Presenter’s supplied handouts to Conference registrants via Internet download prior to the Conference and via CD at the Conference. Presenter has the option to agree or disagree to allowing MLA to publish Presenter’s supplied handouts publicly on the MLA Web site for a period not to exceed 90 days following the Conference.
MLA will not make copies of presenter handouts. MLA will include Presenter’s handout materials essential to Presenter’s presentation via Internet download and CD provided to registrants only if the materials are submitted to MLA by August 27, 2010. If Presenter does not supply handout originals to MLA by August 27, 2010, then Presenter is responsible for providing his/her own handout copies the day of the Conference at his/her own expense.
Handouts must be submitted electronically (e-mail is preferred) to the MLA office as print-ready PDFs. Slideshows should be provided in both printer-friendly handout format and in slide format (two separate PDFs). Supplemental materials should be combined into one additional PDF. Please limit materials to no more than three PDFs per session.
Audio/Visual
Equipment:
MLA agrees to provide audio/visual equipment as agreed upon between MLA and Presenter per the published and completed A/V Request Form. A completed A/V Request Form must be remitted by Presenter to MLA by no later than April 23, 2010.
Cancellation: This agreement will bind both MLA and Presenter and should only be cancelled in writing by mutual agreement.
Notification of
Acceptance:
Presenter will be notified of acceptance or denial by MLA by no later than July 15, 2010. Upon notification of acceptance, the terms of this proposal become a binding agreement between Presenter and MLA.

Information You’ll Need to Complete a Proposal

To help you complete the online proposal form quickly and accurately, please have the following information at hand before you begin:

  • The terms of engagement (located on this page; you will be required to agree to them before you can complete the proposal)
  • A brief biography in third-person paragraph format as it should be published in marketing materials
  • The title of your session as it should be published in marketing materials
  • The first and last name of each person who will present the session with you
  • A short description of your session as it should be published in marketing materials
  • Anticipated audio/visual needs to support your presentation


Proposal Form and Process

Review Process: Proposals will be reviewed by the MLA Conference Program Planning Committee with input from the various MLA Divisions and other subunits.
Estimated Notification
of Acceptance:
Presenters of accepted proposals will be notified in early July and by no later than July 15, 2010.
Proposal Form: Complete the online proposal form. You will need to complete a separate form for each session you are proposing. Please note that each co-presenter for your session(s) will also need to complete certain sections of the proposal form by the proposal submission deadline.
